Workflow Trigger: Payment Received

This trigger allows you to automatically start a workflow whenever a payment is successfully processed in your CRM. It is commonly used to send confirmation emails, update contact records, assign tasks to team members, or trigger other follow-up actions immediately after a sale is completed.

Setting Up the Trigger

To create a workflow that activates on a received payment:

  1. Navigate to the Workflows section of your CRM.
  2. Create a new workflow or edit an existing one.
  3. When setting up the trigger, select the option for "Payment Received" or a similar trigger related to successful payments.
  4. Configure any specific conditions if needed, such as applying the trigger only to payments for certain products, services, or above a specific amount.
  5. Save your trigger settings.

Important Testing Note

Do not use the "Test Workflow" button when testing the Payment Received trigger. Because this trigger depends on an actual financial transaction being completed, the test button will not simulate a real payment event. Instead, to properly test your workflow, save and publish it, and then use one of the following methods:

  • Process a genuine test payment through a sandbox or test mode in your payment gateway.
  • Use a real, small-value transaction to trigger the workflow naturally.

This ensures that the workflow activates under the same conditions it will encounter in a live environment, allowing you to verify that all subsequent actions (like emails or status updates) occur correctly.

Expected Outcome

Once active, the workflow will automatically run for any contact who makes a successful payment. You can then build out the workflow with actions like sending a receipt, adding a tag, notifying a sales rep, or enrolling the contact in a nurture sequence.
