Assigning a Primary Calendar

About the Primary Calendar

Within Teams/Group calendars—such as Round Robin, Service, Class, and Collective Calendars—appointments assigned to a specific user can be synchronized with external calendars like Google, Outlook, or iCloud. This feature also allows events from those external calendars to be read and synced back to the CRM. You can manage these settings by navigating to Settings > My Profile. The two main settings you will configure are Primary Calendar and Check for Conflicts. This area displays all the third-party calendar integrations you have added.

Primary Calendar

The Primary Calendar is your main calendar for synchronizing events. Its primary function is to write new appointments created in the CRM to your linked Google, Outlook, or iCloud calendar. It also reads events from your external calendars, but its main role is to push new appointments out. When contact creation is enabled, it operates with a two-way sync similar to an Event (Unassigned) Calendar. In practice, this means events with attendees in Google or Outlook will be converted into appointments in the CRM, although recurring events are an exception to this rule.

Primary Calendar Dropdown

This dropdown menu lists all the calendars you have integrated for your profile. Calendars that are disabled may still be available for selection if they are included in the 'Check for conflicts' feature, or they may be listed but lack the necessary write permissions for Google.

Allow Contact Creation

Use this setting to control whether appointments are created in the CRM from events in your Google or Outlook calendar. If you do not want this to happen, leave the option set to None. If you do want events with attendees from your external calendar to be created as appointments and contacts in the CRM, select a specific calendar from the dropdown. This ensures any appointments created from synchronization will be placed in the chosen calendar. The dropdown includes all group calendars of which you are a member.

Allow Trigger

This dropdown only becomes visible after you have selected a calendar in the Allow Contact Creation field. The setting applies exclusively to appointments that are created through synchronization from Google or Outlook. If you select a trigger, it will execute for these synced appointments. If you leave it unselected, the trigger will be skipped for appointments created via synchronization.
