Overview of Editing a Booking

The Edit Booking screen is your central hub for making changes to an existing rental reservation. From this single page, you can adjust booking details, manage the included rental items, handle payments and invoices, and update the booking's status. This ensures you can accommodate customer requests, correct errors, and keep all booking information accurate and current.

How to Access the Edit Booking Screen

To edit a rental booking, follow these steps:

  1. Navigate to the Calendars section of your CRM.
  2. Go to the Appointment List View.
  3. Use the dropdown menu to select the Rentals view.
  4. Find the booking you wish to modify. In the Actions column for the relevant row, click the Edit icon (shaped like a pencil).

Note: Each row in the list view represents a single rental listing within a booking. Clicking the Edit icon for any row will open the entire booking, allowing you to manage all listings, payments, and details associated with it.

Understanding the Edit Booking Screen

The screen is organized into several key sections to help you manage the booking efficiently.

Booking Summary

This section at the top provides a quick overview of the booking's essential information:

  • Contact Information: The name of the customer who made the booking.
  • Booking ID: A unique reference number for the booking.
  • Status: The current state of the booking (e.g., Unconfirmed, Booked, Active).
  • Payment Status: Shows the payment progress (Pending, Partially Paid, Paid).
  • Booking Source: Indicates where the booking was created (e.g., your booking page, calendar).
  • Start & End Date/Time: Shows the earliest start and latest end times across all listings in the booking.
  • Timezone: Displays the business timezone configured in your global settings.

Listings

This area displays every rental item included in the booking. For each listing, you can:

  • Update the quantity.
  • Adjust the start and end dates or times.
  • View the total price and any associated security deposit.

You also have the option to add a new listing to the booking or remove an existing one.

Important: While editing, you can override certain restrictions like operating hours. However, time buffers are still enforced to prevent scheduling conflicts. When adding or updating a listing, it must be available in your inventory for the selected time period.

Payment Summary

This section gives a clear financial snapshot of the booking. It typically displays:

  • Rental Subtotal: The combined cost of all listings.
  • Taxes: Any applicable taxes.
  • Security Deposit Total: The total security deposit amount for the booking.
  • Total Amount: The final amount due.
  • Paid: The amount already collected.
  • Amount Due: The outstanding balance.

Security deposits can be configured to be collected upfront or held as a card on file to be charged later if needed.

Customer Information

This shows the contact details of the customer associated with the booking, pulled from your CRM.

Internal Notes

Here you can view any existing internal notes about the booking and add new ones for your team.

Invoices and Transactions

This area provides a detailed record of all invoices generated for the booking and a history of every payment transaction, giving you full financial transparency.

Booking Actions

This section contains controls for managing the booking's status and payments, such as marking it complete or processing a refund.

Managing Booking and Listing Statuses

The overall booking has a status, and each individual listing within the booking can also have its own status. These statuses help track the progress of the rental. You can update these statuses from the Edit Booking screen. Changing the booking status may automatically update the statuses of all listings within it, while you can also update listing statuses independently if needed.

Key Points to Remember

  • Changes you save are reflected immediately in the Appointments List View and Calendar.
  • The system prevents edits that would create double-bookings or violate inventory limits.
  • All financial changes are logged in the Transactions area for a clear audit trail.
