Understanding the Calendar View for Services and Meetings

Overview

The Calendar View is your primary workspace for overseeing all of your scheduled events. It intelligently organizes your schedule by the nature of your bookings, providing a clean and context-specific interface for either client meetings or service appointments.

Available Scheduling Types

The Calendar View supports two distinct scheduling modes, each tailored for different business needs.

Meetings

This type is ideal for managing sales appointments, personal bookings, team calendars, classes, or round-robin schedules. It consolidates all your existing calendar types—such as personal, round robin, collective, and class calendars—into one view, making it perfect for handling both internal and client-facing meetings.

Services

Designed specifically for service-oriented businesses, this type supports complex booking requirements. It accommodates service variations, add-ons, multiple services, and staff-specific pricing, helping you efficiently manage appointments that involve different team members, service types, or physical locations.

Activating Scheduling Types

You can control which scheduling types are available by adjusting the settings at the agency level. If you enable only one type, the Calendar View will open directly to that view, and the type selection dropdown will not be visible. When both Meetings and Services are activated, a dropdown menu will appear at the top of the calendar, allowing you to switch between the two modes.

How the View Adapts

When you select a scheduling type from the top dropdown, the calendar interface updates to match your choice. The layout and the set of filters in the right-hand panel change to show only the information relevant to that type. The calendar grid itself will display events and blocked time slots specific to the selected scheduling type, ensuring you are not distracted by unrelated bookings.

Filters for Each Scheduling Type

The available filters change depending on whether you are in the Meetings or Services view.

Meetings View Filters

  • Users: Display calendars linked to specific team members.
  • Calendars: Toggle the visibility of individual calendars, such as personal or collective calendars.
  • Groups: Filter events based on calendar groups.

Services View Filters

  • Staff: Show appointments assigned to particular staff members.
  • Services: Display bookings for specific services.
  • Categories: Narrow down the view by service categories.
  • Unified Service Booking View: When this option is enabled, a service booking with multiple appointments is displayed as a single block on the calendar. In this view, the Staff, Service, and Category filters are not available, as all related appointments are grouped together.
  • Location: Filter appointments based on the booking location.

Additional Calendar Controls

  • Month View Navigation: A small monthly calendar is located beneath the main date display. Click on the date to expand this mini-calendar for quick navigation.
  • Managing the Filter Panel: Use the Manage View button in the top-right corner to hide the filter panel on the right, giving you more screen space to view your calendar. You can use the same button to show the panel again when you need it.

Helpful Tips

  • Use the Unified Service Booking View to get a consolidated overview of complex service bookings.
  • Apply the Location filter in the Services view to focus on appointments at a specific branch or venue.
  • Hide the filter panel when you are presenting your screen or need an unobstructed view of a busy schedule.
  • Utilize the mini month-view calendar to jump to different dates quickly.

Important Limitation: Third-Party Calendar Updates

When using the Services view, please be aware that any changes made directly within a connected third-party calendar (like Google Calendar, Outlook, or iCal) will not sync back to your CRM calendar. To maintain accuracy, all modifications—including rescheduling, cancellations, or edits—must be performed directly within the CRM.
