Creating and Managing Events in Your CRM
About the Events Feature
Your CRM provides a built-in events system that lets you create and manage ticketed or RSVP events directly within your account. You can build a public event page, sell tickets, collect registrations, add schedules and speakers, send notifications, and check in attendees—all from one centralized location. This guide walks you through the process of setting up an event from draft to published status, and then managing registrations and attendee check-ins after your event goes live.
Event Types and Locations
When creating an event, you’ll choose an event type and location format. These choices affect how attendees register, whether payment is required, and how they access the event. It’s important to select the right options during setup, as you cannot change the event type after creation.
Event Types
- Ticketed: Ideal for paid events, conferences, workshops, or any event where you want to sell tickets with multiple pricing tiers. Attendees go through a checkout process to complete registration.
- RSVP: Best for free events like meetups, community gatherings, or internal events where guests confirm attendance without a payment step.
Location Types
- In-person: Enter a physical address. The public event page will display a map and a “Get directions” link.
- Online: Provide a meeting URL, title, optional image, and joining instructions. You can control when the join link becomes visible to attendees.
How to Set Up an Event
Follow these steps to create and configure your event properly, ensuring a smooth experience for registrants and attendees.
Create a New Event
To begin, navigate to the Events dashboard from the left sidebar under Marketing. Click “+ Create Event” in the top-right corner.
- Choose Event Type: Select either Ticketed or RSVP based on your event’s needs.
- Add Event Details:
- Event Name: Enter a name up to 100 characters.
- Cover Image: Upload an image in PNG, JPG, or GIF format (recommended size 1920×1080 px, max 5 MB).
- Short Summary: Provide a brief description up to 160 characters.
- Event Description: Use the rich text editor to add formatted content, including bold text, lists, links, and images.
- Set Date and Time:
- Specify start and end dates and times.
- Choose a timezone and select either 12-hour or 24-hour display format.
- Set the Location:
- For in-person events, enter a physical address.
- For online events, provide a title, meeting URL, optional image, and joining instructions. You can choose to hide the join link until the event starts or set a custom schedule for link visibility.
- Add Organizer Information:
- Include an organizer image (recommended size 400×400 px, max 5 MB), name, email address, and optional website URL and phone number.
Click “Create Event” to save. Your event will now be in Draft status and not visible to the public.
Configure the Event
After creating the event, you can further configure settings such as ticketing options, schedules, speakers, and notifications. These options are accessible from the event management dashboard.
Manage the Event
Once published, you can track registrations, send updates, and check in attendees directly from your CRM. Use the event dashboard to monitor status, view attendee lists, and manage day-of-event activities.
Attendee Experience
Attendees will see a public event page with all the details you’ve provided. They can register, purchase tickets (if applicable), and receive confirmation and reminder emails. For online events, the join link will become available based on your visibility settings.
