How to Use the Only Assigned Data Setting with Dashboards
What Is the Only Assigned Data Setting?
The Only Assigned Data setting is a security feature in your CRM that restricts dashboard views so users see only information assigned directly to them. This helps maintain data privacy, reduce distractions, and improve focus on relevant tasks.
Benefits of Using Only Assigned Data
Enhanced Security
By limiting data visibility, you protect sensitive information from unauthorized access. Users will only see records, leads, or appointments assigned to them, reducing the risk of data exposure.
Increased Efficiency
Dashboards automatically filter widgets to show data relevant to the user, eliminating the need for manual adjustments. This streamlines workflows and saves time.
Simplified User Experience
Users experience less clutter and distraction, as irrelevant data is hidden. This leads to a cleaner, more intuitive dashboard tailored to individual responsibilities.
Use Cases
- Sales Teams: Sales representatives see only their own leads and opportunities, avoiding overlap and improving accountability.
- Customer Support: Agents access only assigned customer cases, tickets, or appointments, enabling quicker and more personalized responses.
How to Enable Only Assigned Data
Step 1: Navigate to Settings
Go to Settings, then select My Staff. Search for the team member you want to configure and click Edit next to their name.
Step 2: Enable the Setting
In the Roles and Permissions section, locate the Data Visibility Scope option. Choose Only Assigned Data from the dropdown menu.
Step 3: Save Changes
Click Save to apply the setting. The user’s dashboard will now display only data assigned to them.
Important Notes
If a dashboard widget has a hardcoded filter for another user, individuals with Only Assigned Data enabled may see a permission-required message instead of data. Ensure widgets are configured appropriately to avoid this issue.
