Migrate a Sending Domain from Mailgun to CRM Email

If you have a sending domain configured in Mailgun and want to move it to the CRM's email service, this guide will walk you through the process. The migration involves removing the domain from your Mailgun account and then adding it as a dedicated sending domain within the CRM. Because the CRM's email infrastructure is compatible with Mailgun's, your existing DNS records can typically remain unchanged.

Delete the Domain from Mailgun

Before you can add your domain to the CRM, you must first remove it from your Mailgun account.

Step 1: Access Domain Settings in Mailgun

Log into your Mailgun account. Navigate to the Sending section and select Domain Settings. Ensure the correct domain you wish to migrate is selected from the dropdown menu at the top of the page.

Step 2: Delete the Domain

Scroll to the bottom of the Domain Settings page. Click the Delete button and confirm the action when prompted.

Important: This action is permanent. Any API keys or SMTP credentials specifically associated with this domain in Mailgun will become invalid. Ensure you have stopped all sending through Mailgun for this domain before proceeding.

Add the Domain in the CRM

Once the domain has been deleted from Mailgun, you can add it to your CRM sub-account.

Go to SettingsEmail ServicesDedicated Domain. Click the + Add Domain button. Enter the exact domain name you just removed from Mailgun and click Add & Verify.

The CRM will then display the DNS records required for verification.

Tip: Since the CRM's email service uses the same underlying infrastructure as Mailgun, the SPF, DKIM, MX, and CNAME records you previously set up for Mailgun are likely already correct. After you click Verify DNS Settings, the system will check the records and display a green checkmark for any that are properly configured.

You're All Set

Once all DNS records show a green checkmark, your domain migration is complete. You can send a test email from the Conversations section to confirm that sending is working correctly.

Frequently Asked Questions

Do I need to update my DNS records after the migration?

Usually not. The CRM's email service is compatible with the DNS records you set up for Mailgun. The verification process will confirm which records are still valid.

Will I lose my email sending reputation?

No. Your domain's sending reputation is tied to your DNS records and the associated IP addresses, not your Mailgun account. Migrating will not reset your deliverability standing.

What happens to emails queued in Mailgun when I delete the domain?

Emails already accepted into Mailgun's queue before deletion should still be delivered. To avoid any issues, it is best to ensure all pending sends are complete and the queue is empty before you delete the domain.

Can I use this domain on multiple sub-accounts?

Yes, you can add the same domain to multiple sub-accounts. However, be aware that sending reputation is tracked per account, so this can affect reputation management.

Can I move the domain back to Mailgun later?

Yes. You would remove the domain from the CRM's Dedicated Domain settings and re-add it in Mailgun. Your DNS records would likely still be valid for verification in Mailgun.

Is there any downtime during the migration?

There can be a brief interruption between deleting the domain in Mailgun and completing verification in the CRM. To minimize this, prepare to complete the CRM setup immediately after deletion. The entire process is usually very quick.

Do I still need my Mailgun account after migrating?

No. Once your domain is successfully migrated and verified in the CRM, you do not need to maintain a separate Mailgun account for sending email through the platform.
