Removing a Dedicated Email Sending Domain

Overview

A dedicated sending domain is a custom email domain you have connected to your CRM sub-account for sending and receiving messages. You can manage multiple domains for a single location. This article explains how and why to remove one.

Why Remove a Sending Domain?

There are several common scenarios where deleting a domain from your settings is necessary.

You Added the Incorrect Domain

If a domain was added by mistake, it will prevent your DNS records from validating and stop email functionality. Deleting it allows you to add the correct one.

Your Business Has Rebranded or Changed Domains

Maintaining consistency between your sending domain and your public business identity is crucial for building trust with email providers and recipients. When you change your primary business domain, you should update your sending domain to match.

Your Domain's Reputation Has Been Compromised

If a domain receives a high volume of spam complaints, its sender reputation can drop, severely impacting email deliverability. In such cases, removing that domain and starting fresh with a new one is often the best path to recovery.

Locating Your Sending Domains

All dedicated sending domains for your sub-account are managed within the CRM's Email Services settings.

Navigation Path: Navigate to Settings > Email Services. Your connected domains are managed here.

Steps to Delete a Domain

Follow these steps within the Email Services section to permanently remove a domain.

Step 1: Access Domain Management

In the Email Services area, locate and click the button labeled Dedicated Domain and IP. This will display a list of all sending domains connected to this sub-account.

Step 2: Initiate and Confirm Deletion

For the domain you wish to remove, find the three-dot menu icon on its card and click it. From the actions menu that appears, select Delete Domain.

A confirmation pop-up will appear. Confirm your choice to permanently delete the domain from your sub-account. This action is immediate and cannot be undone.

Important: Once deleted, the association between that domain and your CRM sub-account is severed. Any email sending from this location that uses the deleted domain will cease. The domain itself and its DNS records at your registrar are not altered.

Frequently Asked Questions

What happens after I delete the domain?

The platform's link to your domain is removed. Your domain's DNS records remain unchanged at your registrar. You can immediately connect the domain to another service or re-add it to a CRM sub-account later.

Can I re-add the same domain to this sub-account later?

Yes. You can re-add it at any time by going to Settings > Email Services > Dedicated Domain and clicking + Add Domain. You will need to re-verify the DNS records, which may take time to propagate.

Will this hurt my email deliverability?

If you delete a domain with a good reputation and switch to a new, unknown domain, you may see a temporary drop in deliverability as the new domain builds its reputation. Conversely, deleting a domain with a poor reputation may improve long-term deliverability if you replace it with a clean one.

Do I need to delete the DNS records from my domain host?

No. Deleting the domain from the CRM only removes it from the platform. The DNS records at your registrar stay in place. You should only remove or update those records if you are permanently moving the domain to a different email service.

What happens to scheduled emails?

Emails already scheduled or in workflows that are set to send from the deleted domain will fail to deliver once the domain is removed. Before deletion, you should pause any active campaigns or workflows using that domain and reconfigure them to use a different, active sending domain.

How many sending domains can I have?

You can connect multiple domains and sub-domains to a single sub-account. There is no strict enforced limit, allowing you to organize domains for different brands, teams, or purposes.
