Configuring User Permissions for Payment Modules

What This Feature Does

The CRM now offers six distinct permission modules for payment operations, allowing you to grant specific access to team members for different areas of payment management. Each module includes customizable toggles for actions like viewing, creating, editing, deleting, exporting, and configuring. The system automatically enforces dependencies—for example, bulk actions require appropriate create/edit permissions. These modules work alongside the main Payments permission and provide finer control over sensitive operations.

Available Payment Modules

  • Orders: View, export, import, and collect payments (including partial payments).
  • Subscriptions: Create, modify, pause, resume, cancel, export, and manage payment method updates.
  • Transactions: View, refund, export, import, and download receipts.
  • Taxes: View and configure tax settings, add or delete manual tax rates, and enable automatic tax calculation.
  • Products: View, create, edit, import, duplicate, bulk-manage, and delete products.
  • Payment Settings: Configure receipts, subscription defaults, and other payment settings.

Requirements

To use this feature, you need:

  • Access to Settings → My Staff with permission to edit staff roles.
  • A clear plan for which team members should handle each payment module.
  • A staff member or role to assign permissions to.

How to Assign Payment Permissions

Step 1: Open Roles & Permissions

Navigate to Settings → My Staff. Click the Edit icon next to the staff member you wish to update, then open Roles & Permissions.

Step 2: Configure the Payment Modules

You will see the six payment modules listed separately. For each module:

  • Select the actions the staff member should have access to, such as view, create, update, delete, export, or configure.
  • Note that dependencies are handled automatically; if a required permission is not granted, related actions will be disabled.
  • You can also apply 'Assigned Data Only' permissions for staff members if needed.

Step 3: Save

Click Save to apply the changes. The new permissions will take effect immediately for the selected user across all modified modules.

What happens if I enable 'Bulk Manage Products' without granting 'Create/Edit'?

Bulk actions will be automatically disabled. The required base permissions must be enabled for dependent actions to work.
