Understanding and Using Gift Cards in Your CRM
What Are Gift Cards?
Gift cards are a feature within your CRM's payment system that lets you create and manage digital gift certificates for your business. You can design branded gift card products, sell them to customers, or send them as complimentary credits. Each card is tracked in a central location, providing you with details on its balance, status, and redemption history. Customers can purchase these cards for themselves or as gifts for others, and recipients can redeem them at checkout for a seamless payment experience.
Key Benefits of Gift Cards
Using gift cards offers several advantages for your business:
- Flexible Sales Channels: Sell gift cards through a dedicated checkout page, embed them on your website, share them via QR code, or add them to existing sales tools like forms, funnels, and your online store.
- Scheduled Delivery: Choose to deliver the gift card immediately upon purchase or schedule it for a future date, perfect for birthdays or holidays.
- Centralized Tracking: Monitor all issued cards from a single dashboard, viewing their unique code, value, current balance, and status.
- Brand Customization: Design the card's appearance using color gradients or by uploading your own artwork to ensure it matches your brand identity.
- Easy Gifting: The checkout process includes an option for customers to buy the card for themselves or for someone else, simplifying the gifting experience.
- Simple Redemption: Recipients can easily apply their gift card code or link at supported checkouts within the CRM.
Requirements to Get Started
Before you can use gift cards, ensure you have the following:
- Access to the Gift Cards section within your CRM's Payments area.
- At least one active gift card product created.
- Active checkout methods (like forms, funnels, payment links, or your store) set up to allow customers to redeem the cards.
- (Optional) Brand artwork and your terms and conditions ready for card customization.
Creating a Gift Card Product
Step 1: Access the Gift Cards Dashboard
From the main navigation menu, select Payments. Then, click on Gift Cards in the top menu to open the dashboard.
Step 2: Start Creating a New Card
Click the + Create Gift Card button. Note that other options like viewing orders will appear after your first product is created.
Step 3: Enter Basic Information
Fill in the required details for your gift card product, including:
- A name and description.
- Your terms and conditions.
- An expiry date for cards issued from this product.
- A URL for redemption instructions (optional).
Step 4: Customize the Card Design
Choose a visual style that represents your brand. You can either:
- Create a color gradient by selecting your brand colors and a gradient style.
- Upload your own custom image file (like a PNG or JPG).
Step 5: Set Values and Other Options
Configure the financial and logistical settings:
- Add one or more fixed denominations (e.g., $25, $50).
- Set the total inventory quantity. Note: The quantity you set applies to each denomination individually. For example, setting a quantity of 100 for a product with two denominations means 100 cards are available at each price point.
- Optionally, enable automatic tax calculation.
- Optionally, assign the product to a category for better reporting.
Step 6: Save Your Product
Review the summary and preview, then click Create Gift Card to finalize it.
Managing Gift Card Products
You can modify your gift card products after creation:
- Edit: Update details like denominations, inventory, terms, or expiry. Changes apply to newly issued cards going forward.
- Archive: Remove old or unused gift card products from your active list.
- Deactivate: This immediately disables the ability to sell or send cards from this product. Any dedicated checkout link or store page for this product will stop working. If the product was added to other checkouts, it may still be sold unless you manually remove it.
- Activate: Re-enable a deactivated product for sales and sending. You may need to re-add it to checkouts where it was removed.
Selling Gift Cards
You can sell your gift card product in several ways:
- Through its own dedicated checkout link.
- By adding it as a product to your existing sales channels, such as funnels, forms, your online store, websites, payment links, invoices, or booking calendars.
- By sharing a QR code that links to the purchase page.
When a customer completes a purchase, the system creates a gift card order and delivers the digital card based on the delivery option selected at checkout (immediately or on a scheduled date).
Sending Gift Cards Without Payment
You can also issue gift cards directly to contacts without requiring a purchase. This is useful for customer loyalty rewards, promotions, or service recovery. You can send the card immediately or schedule it for future delivery, along with a personalized message.
Tracking Gift Card Orders
All issued cards, whether sold or sent for free, are recorded on the Gift Card Orders page. Here you can see each card's unique code, original value, current balance, status (such as active or redeemed), and the associated contact details.
How Customers Redeem Gift Cards
Recipients redeem gift cards by entering their unique code or by clicking a redemption link at a supported checkout within the CRM, such as on a form, funnel, or store page. The checkout will automatically display the available gift card balance and apply it to the purchase. If the gift card doesn't cover the full amount, the customer can provide an additional payment method for the remainder.
